Job Description

This global branding agency based in central London is looking for a keen, enthusiastic person to join their healthcare division to support their client services team.  This is a great opportunity to enter the world of advertising with potential to grow into a more responsible role once you've got to grips with what they do!

Primary Job Responsibilities

Team administrative responsibilitie
Research and manage travel bookings for the team
To manage diaries of the team and ensuring the teams movements are known and coordinated

  • First point of contact for all incoming calls into the team
  • Answer enquiries/take messages on behalf of the team
  • Manage office supplies
  • General admin support - timesheets, expenses, appraisals, holidays etc
  • Dealing with general enquiries from other agency offices
  • Organising internal meetings/events

Client Support

  • To work with the CSD and team to support clients on a day to day basis as appropriate
  • To maintain a strong and active level of awareness in all client projects
  • Co-ordination of client meetings
  • Support in preparation of presentations and materials for clients
  • Ad hoc project support
  • Coordination of new business activity for the team

Reporting and Financial Support

  • To work with Client Leads to ensure income is appropriately recognised
  • To support the team with client invoicing
  • To recognise, record and report new business activities
  • Other day to day reporting and financial support for the team

Skills and Competencies

  • Excellent spoken English and phone manner essential
  • Excellent written English and grammatical accuracy
  • Outlook (advanced)
  • Word (intermediate)
  • Excel (intermediate)
  • Secretarial skills
  • Diary management
  • Numerate and financially savvy. Ability to work with numbers and process low-level financial information
  • Efficient and highly organised
  • Team player with a flexible approach
  • Ability to work autonomously and ability to use initiative in solving problems
  • Confident in talking to senior clients
  • Reliable
  • Personable
  • Pro-active and be able to multi-task
  • Ability to prioritise/manage workload
